Michelle Baker/’Fitness with Michelle’ is a qualified ‘Group Exercise Instructor’, providing a variety of community based group exercise classes for adults.

What personal data we collect and why we collect it

As your group exercise instructor, I am committed to protecting your privacy. This privacy policy sets out how I use and protect any information that you give me.

 

Your personal data and your membership

As an attendee of my group exercise classes, I collect, store and use the personal data that you provide me. I do this so that I can effectively manage my classes and ensure that as a participant you are kept informed and safe. I may use your data to contact you with class updates and wider group exercise related opportunities I think you may be interested in. I will use your data to keep me informed about any health or wider needs you have that I need to consider whilst delivering your class/es.

If you have provided me with emergency contact details I will use this data when required. Some of the data that I collect from you is ‘specialist category’. This includes (not exhaustively) any data relating to disabilities and health. I collect and use this data to enable me to tailor activities to your needs.

Unless you have given me separate written consent,  6 months after you stop attending my classes, I will delete/destroy all personal PAR-Q data that is not linked to financial records or insurance details. (If you completed a PAR-Q but did not attend any classes, your PAR-Q data will be deleted 6 months from your PAR-Q date).

I will store any personal data linked to financial records for a 6 year period. HM Revenue and Customs (HMRC) have the right to inspect financial information relating to the previous 6 years and require all trading entities to keep financial records for this length of time. All data you provide to me is stored on a password protected device and/or paper copies locked away. The only exception to this rule is when I may occasionally carry paper copies of your personal PAR-Q data to the class/es you attend. I must do this so that I have your health needs and emergency contact details to hand should they be required.

 

Health Questionnaire Form / PAR-Q

When you complete and submit a Health Questionnaire Form/PAR-Q (Physical Activity Readiness Questionnaire), the form details are emailed to me, and the data is stored securely in an off-line, password protected location and shall be processed and stored for as long as required by the purpose they have been collected for.

 

Email Campaigns

If you ticked ‘Yes’ to agreeing to receive class information from Michelle by email on your PAR-Q, you will receive a weekly email with class and event information.

This email is sent using the email marketing platform ‘Mailchimp’. Your email address and first name are added and safely stored on my Mailchimp account. If you change your mind you can unsubscribe from receiving emails at any time by either clicking the ‘unsubscribe’ button at the bottom of the email you receive, or by emailing me at: info@fitnesswithmichelle.co.uk

Embedded content from other websites

We use Google Analytics to monitor website activity. This data is anonymous and you cannot be personally identified.

 

Who we share your data with

We do not share or sell your personal information with third parties for marketing purposes.

However, on some occasions we may be required to disclose certain information with selected third parties with whom we work. For example:

  • Professional service providers such as our accountants for financial bookkeeping.
  • Government agencies/HMRC for finance related account checks/audits.
  • Our Booking/Payment providers such as ‘Gymcatch’ or ‘Stripe’, to help solve a booking or payment query you may have.

Photographing / Filming classes

Occasionally we photograph and / or film classes for ‘Fitness With Michelle’ promotional purposes. On these occasions we will advise the participants in advance and will ask the participants to complete a photography / film consent form where you can choose to either give your consent for the photos / film to be used, or withdraw your consent, where you will be edited out of the final cut.

These photos / videos will only be used for the following purposes:

To advertise ‘Fitness With Michelle’ classes either electronically (including my website and social media pages, and possibly other social media pages and websites sharing the posts on our behalf to advertise our classes), printed information, displays, posters, flyers, adverts, and used at fitness events relating to the activity shown in the photos / videos. These photos and videos will be owned by Michelle Baker / Fitness With Michelle.

 

What rights you have over your data
